Refund & Return Policy (Website Purchases)
At vanillapodsbykim.com, all products are freshly baked to order using premium ingredients and contain no preservatives. Due to the perishable nature of our products, all sales made through our website are final once the order has been prepared, collected, or dispatched.
1. Order Confirmation
Please ensure all order details — including delivery address, contact number, product selection, custom wording, and delivery/collection date — are accurate before completing checkout.
Once payment has been successfully made, you will receive an order confirmation email. Orders cannot be cancelled, amended, or refunded after confirmation as production slots and ingredients are allocated immediately.
2. Cancellations
Cancellations are not permitted for confirmed orders.
For orders placed well in advance, cancellation requests (if any) are subject to management approval and may incur an administrative charge.
Orders cancelled less than 72 hours before delivery/collection are strictly non-refundable.
3. Incorrect or Damaged Items
If you receive the wrong item or a product that is severely damaged upon receipt, please notify us within 2 hours of delivery or collection with:

Clear photos of the product
A brief description of the issue
We will review the case and determine an appropriate resolution. Refunds or replacements are strictly at our discretion.
Please note:
Minor design variations, colour tones, or slight decoration differences are not considered defects, as all products are handmade.
Damage caused after collection or incorrect storage is not eligible for refund.
4. Returns
Due to hygiene and food safety regulations, we do not accept returns of perishable food items.
If a return is exceptionally approved, the product must be:
Unopened
Untouched
In its original packaging
5. Refund Method
If a refund is approved:
Refunds will be issued as store credit for future purchases.
We do not provide cash refunds or credit card reversals.
Store credits are valid for 6 months from the date of issue unless otherwise stated.
6. Custom & Promotional Items
Personalised, custom-made, specially ordered, discounted, or promotional items are strictly non-refundable and non-exchangeable under any circumstances unless otherwise stated at the time of purchase.
We reserve the right to refuse refund requests that do not comply with the above terms.
